New York Trip Roommates, Groups, and More!

We are officially less than 2 months from departing for New York!  I hope you’re as excited as I am!

 
PLEASE READ THIS ENTIRE EMAIL AS IT CONTAINS SEVERAL TIME-SENSITIVE ACTION ITEMS FOR STUDENTS, PARENTS, AND CHAPERONES.
 
Payments due by January 28:  All travelers must be paid in full by Tuesday, January 28.  Please verify that all students and chaperones have a zero balance.  All fundraising monies have been sent to EDT, though they may not have been reflected on your last statement from EDT.  If your fundraising money exceeds the amount you owe, EDT will send you a refund check.  For questions regarding fundraising, please contact the music boosters directly at hockinsonmusicboosters@gmail.com.
 
Roommate Selection by February 4:  All students should select their roommates for the trip by clicking this link.  ROOMMATES ARE NOT THE SAME AS CHAPERONE GROUPS FOR THIS TRIP.  Students will be housed 4 to a room, which means you will be sharing a bed with someone else.  Please be sure that female students sign up for pink rooms and male students sign up for blue rooms.  Parents please help your student make the correct selection.  I reserve the right to reassign roommates if I feel the combination will present a problem.  Chaperones:  Due to rooming constraints I have preassigned all of your rooms.  All of you have roommates, but since you are 2 to a room none of you will have to share beds.  If there is a problem with your rooming situation please contact me before February 1.
 
Chaperone Group Selection by February 4:  All students should select their chaperone groups for the trip by clicking this link.  CHAPERONE GROUPS ARE ON THE SAME AS ROOMMATES FOR THIS TRIP.  Students must stay with their chaperone group whenever outside the hotel. Chaperone groups will be assigned to the same airplane and charter bus. Chaperones will be responsible for supervising their students whenever outside the hotel, and will do nightly room checks to make sure students are in their rooms during designated quiet hours. Mixed gender chaperone groups are okay as they do not have to be the same as the roommate groups. No chaperone groups will be larger than 4 students but some may be less. Parents please help your student make the correct selection.  I reserve the right to reassign roommates if I feel the combination will present a problem.  Chaperones:  I will place spouses on the same flights and buses.  For everyone else, I will do my best to accommodate requests but can’t make any guarantees.
Meal Selection by February 4:  All students and chaperones must select their meal choices in advance for a few restaurants by clicking this link.  Please be sure to use your full legal name (that you used to register for the trip) and complete all sections.
Student Code of Conduct by February 4:  All students and their parents must print, sign, and return this Code of Conduct form to the band room.  PLEASE DO NOT SCAN/EMAIL.  Please read the form carefully, as failure to follow the expectations spelled out may result in your being removed from the trip.
Chaperone Code of Conduct by February 4:  All chaperones music print, sign, and return this Code of Conduct form to the band room.  PLEASE DO NOT SCAN/EMAIL.  Please feel free to email me with any questions.
Medical Information Form by February 4:  All students and chaperones must complete this form and return it to the band room.  PLEASE DO NOT SCAN/EMAIL.  Chaperones, while this form is mainly for students I do ask that you complete the pertinent information as well.
Attention Wind Ensemble and Percussion Ensemble Students:  You will be doing two performances at Carnegie, one with the Wind Ensemble and one with the Symphonic Band.  If you wear a tuxedo for concerts I am asking that you please also bring with you a black dress shirt/blouse.  You will wear your tuxedo for the Wind Ensemble performance, and then slip into a changing room to change shirts and match the Symphonic Band.  Ladies, your Wind Ensemble dress will match the Symphonic Band uniform.
Parent/Student/Chaperone Meeting:  I’m sure you all have plenty of questions about the trip, and this is normal for this point in our preparation.  Once I receive a final draft of our itinerary (probably mid-to-late-February) I will schedule a meeting to go over all the details you need to know.  Chaperones will also receive contact information for their assigned students and make contact with each family to give you a chance to feel comfortable with the adult who will be supervising your child.
